Sr LOA-ADA Specialist

We are seeking a highly talented Sr. LOA/ADA Specialist that will provide leave coordination services for associate leaves of absence under state and federal leave laws (including the federal Family & Medical Leave Act), applicable Canadian leave legislation, and Company policy; and maintain, report on, and analyze leave-related data.  The LOA/ADA Specialist shall execute his/her duties with integrity and attention to confidentiality and accuracy in all aspects of leave coordination and data management. Responsibilities:

  • Oversee administration by the Company’s third-party leave administrator (“TPA”) of associate leaves of absence (under federal and state laws and Company policy, including but not limited to: FMLA, ADA, military, disability, Wellness, and workers compensation leaves, and Canadian laws and regulations.) and coordinate with TPA as needed
  • Perform leave administration activities for both US and Canadian team members, including preparing correspondence, data entry, managing the return to work process, document review and analysis, file updates and maintenance, document management, and responding to tickets and emails related to leave inquiries and requests Communication and Process Coordination
  • Communicate with and serve as liaison between and among the Company, associates, managers, and relevant third parties for LOA related matters, including responding to tickets and emails in a timely and informative manner.
  • Collaborate with the internal business partners (e.g., workplace accommodations, employee relations, workers compensation, benefits, talent acquisition, & legal teams) regarding LOA matters as needed 
  • Respond to leave policy-related questions
  • Effectively document system and process changes with clarity, completeness, and specificity
  • Assist in establishing/enhancing process automation and efficiency improvements 
  • Develop and prepare leave reports 
  • Prepare preliminary analysis of reports
  • Conduct audits of LOA data and processes and implement follow-up, corrections or and/or enhancements as needed to further data and process integrity and compliance
  • Special Projects
  • Participate in special projects and Associate Relations and Workforce Compliance cross-functional responsibilities as requested by supervisor or Division management

Qualifications:

  • Functional knowledge of HIPAA, FMLA, ADA, USERRA, STD, LTD, state leave laws and procedures
  • Basic knowledge of medical terminology is helpful
  • Excellent problem-solving skills and attention to detail
  • Proven ability to quickly and accurately input, review, organize, and analyze data
  • Excellent customer service and interpersonal skills with internal contacts at all levels of the organization as well as external contacts
  • Strong verbal and written communication skills
  • Able to handle sensitive issues in a highly confidential manner
  • Demonstrated time management skills with the ability to manage multiple tasks and high volume of work

Share expertise and insights on best practices in LOA and ADA administration, both within the U.S. and Canada, to enhance team capabilities and ensure a high level of service delivery.
